On November 17, 2025, our AI:Xplorer event gave one of the most exciting questions in modern project management a stage: Are AI agents just another hype that will soon fade away, or are we witnessing the start of a fundamental transformation? Together with our AI experts Johannes Kloibhofer and Dennis Preiter, we explored this question not only in theory but also in practice.
When Digital Colleagues Start Thinking Along
Johannes Kloibhofer opened the evening with a thought that would have seemed impossible just a few years ago: Imagine your project team gets reinforcements—not new employees, but digital assistants that never tire, create meeting notes in minutes, and spot project risks before they become problems. Sounds too good to be true? It’s no longer just a futuristic vision.
AI agents are the topic of the moment. The term is everywhere, yet there’s still confusion about what it really means. Our AI:Xplorer brought clarity. The key insight: Not every AI tool is an agent. While simple Large Language Models (LLMs) like ChatGPT only respond to prompts, AI agents take a crucial step further. They pursue goals autonomously, use multiple tools simultaneously, and adapt their strategy on the fly. An AI agent behaves more like a team member—one that doesn’t just execute tasks but constantly thinks ahead and finds the most efficient path forward. In short, the difference is between a passive tool and an active teammate.
The Hybrid Future
While many still speculate about the future, some teams are already preparing for tomorrow’s project organization. AI is breaking traditional structures and transforming them into hybrid-intelligent teams.
The vision sounds both pragmatic and a little dreamy: AI agents handle data analysis, resource optimization, and task tracking. Humans focus on what machines (still) can’t do—creating meaning, setting strategic priorities, and managing sensitive stakeholder relationships.
This shift also creates new roles. Every company will need AI governance and ethics officers to ensure transparency and uphold ethical standards.
The Art of Automation with the Right Tools
Next, we showcased tools that already play a key role in automating and integrating AI into business processes. Platforms like make.com, Zapier, and n8n allow teams to automate recurring tasks and workflows without heavy coding. We also introduced Microsoft Copilot Studio, designed specifically to integrate AI agents into the Microsoft ecosystem. Participants got a hands-on look at how these solutions work—from simple task automation to building complex, AI-driven processes.
With this technical evolution comes new responsibility. Once AI-powered processes are in play, companies need clear accountability for quality, transparency, and risk. Roles must combine technical know-how with governance, data standards, and ethics—so automation stays efficient, clean, and responsible.
AI Agents: The Foundation of Effective AI
“Communication is key” applies to AI too: Without clear instructions, you won’t get precise results. That’s why Prompt Engineering is essential. Methods like RTF+Q (Role, Task, Format, Question) make the difference between mediocre and outstanding outcomes. AI agents act like highly skilled team members—they need clear briefings to unlock their full potential. At the same time, responsibility and trust matter as much as efficiency: Compliance checks, validation, and reliability aren’t bureaucratic hurdles—they’re the foundation of trustworthy AI systems. Transparent governance builds the confidence that digital assistants deserve just as much as human colleagues.
Realism Over Hype
We also faced the limits of AI agents honestly. They’re not magic. They automate tasks efficiently but don’t replace human leadership, contextual understanding, or the ability to read between the lines.
AI agents are powerful tools—but still tools. They can take on certain roles, but they lack accountability. Humans remain the decisive factor—responsibly deploying and evolving technology. Striking the right balance between technological capability and human oversight is the recipe for success.
